T&C: The Hosco Summit

1. DEFINITION

The Hosco Summit, run and organized by Hospitality Connection Barcelona, S.L. (“HOSCO”), occurs annually in Barcelona, Spain. The world’s top hospitality school representatives and HR professionals from first-class companies unite for two days of networking and learning. The attendees exchange best practices, hear from industry figures, and make endless connections. The overall goal is to unite industry stakeholders and tackle some of the biggest challenges hospitality faces.

2. IMAGE RELEASE POLICY

Photos and videos will be taken during the Hosco Summit in Barcelona, Spain, from the 26th to the 27th of September, 2024. These photos and/or video footage will be released on a public album on hosco.com and used to share information about the Hosco Summit on other communication channels managed by HOSCO. 

All event attendees grant permission to HOSCO, the irrevocable and unrestricted right to reproduce the photographs and/or video images taken of me for publication, promotion, illustration, advertising, or trade-in any manner or any medium and country, releasing HOSCO and its legal representatives for all claims and liability relating to said images or videos. Furthermore, Hosco has permission to use the statements if given during a recorded interview at the event, with or without the name, for advertising and publicity without restriction and without offering any compensation in exchange.

If you don’t grant permission to HOSCO to use the photographs and/or video images and/or statements taken of you during the Hosco Summit 2024, please email thesummit@hosco.com. Please state “Image release, the event’s name, and your full name” in the email’s subject line—ex: Image release, Hosco Summit 2024, James Smith.

3. REGISTRATION 

The registration fee allows access to the event as outlined in the registration section of the Hosco Summit website: conference materials, receptions, meals, and breaks as specified in the program.

  • Access to all expert keynotes.
  • Full admission to the speed meetings.
  • Networking dinner.
  • Lunches and coffee breaks for both days.

The program is subject to change without notice.

4. VAT

Per The Spanish Tax Authority, we must charge 21% VAT on all registrations for events held in Barcelona. The Hosco Summit registration fee shown does not include 21% VAT, so it will be added before finalizing any purchase.

If applicable, registering and reclaiming VAT are the sole responsibility of the individual attendee. Eligible registered attendees will receive an invoice receipt, including the necessary tax documentation, via the email address the attendee has provided. 

5. PAYMENT

Registration payment can be made by credit card or by bank transfer. In the case of payments via bank transfer, the full fee is payable to Hosco as a one-time payment within 30 days following the registration to secure your Hosco Summit pass.

5.1 Hosco Summit Pass for Companies:

  • The Early Bird Pass, valued at 590€ for Hosco partner companies and 690€ for non-Hosco partners, is available until December 31, 2023, and will be forfeited if the date to apply for the value passes before receiving the full payment.
  • The Super Saver Pass, valued at 740€ for Hosco partner companies and 840€ for non-Hosco partners, is available until April 30, 2024, and will be forfeited if the date to apply for the value passes before receiving the full payment.
  • The Hosco Summit Pass will be sold at 890€ for Hosco partner companies and 990€ for non-Hosco partners from May 1, 2024.

5.2 Hosco Summit Pass for Schools:

  • The Hosco Summit Pass will remain at the same value, 555€ for non-Hosco partners and 455€ for Hosco partner schools throughout 2023 and 2024 for schools.

5.3 Hosco reserves the right to charge an extra 5% of the amount due should payment not be received on time.

6. REGISTRATION TRANSFER

Registrations may be transferred to another employee or team member in your company or school no later than 30 days before the event occurs. Requests for transfers of the registration fee must be made in writing on or before August 25, 2024. Please email thesummit@hosco.com indicating “Registration transfer, event name, and the person’s full name” in the subject line. Ex: Registration transfer, Hosco Summit, James Smith.

Registrations not transferred on or before August 25, 2024, will be forfeited and not eligible for transfer.

7. FLIGHTS 

The flights to attend the Hosco Summit 2024 paid by HOSCO, under a previous written agreement between HOSCO and the attendee, are subject to the following conditions:

7.1 Flight cancelation: In the case of a flight cancelation, either by the airport, by the airline, and/or other causes, HOSCO is not responsible for booking nor covering the expenses related to arranging a new flight and/or other fees derived from the cancelation.  

7.2 Missed flight: In the case of missing the arranged flight, HOSCO is not responsible for booking nor covering the expenses related to arranging a new flight and/or other fees derived from the missed flight. 

7.3 Flight transfer: The flight may be transferred to another employee in your company or school. HOSCO will not carry any expenses related to transferring the flight. Furthermore, HOSCO reserves the right to approve such a transfer, which has to be communicated in writing on or before August 25, 2024, to thesummit@hosco.com, indicating in the subject line: Flight transfer, name of the event and the full name of the person. Ex: Flight transfer, Hosco Summit, James Smith. 

8. EVENT CANCELLATION 

If the Hosco Summit 2024 is not held as scheduled, the registration fee may be applied to the rescheduled event within one year of the canceled one.

9. CANCELLATION POLICY

Should you have to cancel your registration, a notification in writing (post or email) should be sent to thesummit@hosco.com. Please indicate in the subject line: Cancelation, event name, and your full name. Ex: Cancelation, Hosco Summit, James Smith.

9.1 Conditions of the Hosco Summit Pass for schools and companies (including, but not limited to, HOSCO clients and non-clients):

  • A refund of 100% will be given for cancellations received on or before February 25, 2024.
  • A refund of 75% will be given for cancellations received between  February 26, 2024, and on or before April 25, 2024.
  • A refund of 50% will be given for cancellations received between April 26, 2024, and on or before July 24, 2024.
  • No refund for cancellations received on or after July 25, 2024, will be issued.
  • No-show policy: If you fail to attend the event without a minimum notice of three weeks, on or before September 4, 2024, you will be charged an additional 100 EUR fee.
  • Exceptions: We will waive cancellation or no-show fees in a medical emergency or natural disaster. Please notice that, if needed, we might request proof in such cases.

9.2   Conditions for Hoco Summit sponsors, Bronze, Silver, and Gold:

  • A refund of 100% will be given for cancellations received on or before February 25, 2024.
  • A refund of 75% will be given for cancellations received between  February 26, 2024, and on or before April 25, 2024.
  • A refund of 50% will be given for cancellations received between April 26, 2024, and on or before July 24, 2024.
  • No refund for cancellations received on or after July 25, 2024, will be issued.
  • However, any expenses generated because of the service should be supported entirely by the part that cancels. 

10. OTHER CONDITIONS

HOSCO reserves the right to refuse entry to any HOSCO event.
